OneDrive for Business (OD4B) is a cloud based storage platform that provides us with file storage and collaboration features across a variety of devices.
How will Staff benefit from OneDrive for Business?
- Share documents with others allowing view or edit access
- Real-time document co-authoring with Office 'Online' Apps
- Sync files between devices or 'offline' them to allow access when you're away from Wi-Fi/Data connectivity.
What data can Staff store in OneDrive for Business?
Staff can use OD4B as a replacement for their SharePoint MySite.
With staff often working with a variety of data, when deciding whether to save to OD4B or a SharePoint Teamsite, alongside consideration of any Data Protection requirements the current guidance is to use OD4B for personal documents and for documents :
You don't plan to share
You plan to save to a SharePoint Team Site but they're not yet ready for sharing with others
You want to share with others but they have a limited lifecycle (can be shared with an automatic expiry date)
How do staff use OneDrive for Business?
Your OneDrive for Business login details will be your office 365 ID e.g. firstname.lastname@example.org and your password will be your normal network password.
The first time you access OD4B you should use a web browser such as Internet Explorer (on a PC) or Safari (on MacOS / OSX) at
https://portal.office.com. This will ensure your OneDrive storage gets provisioned to enable you to access it via the other methods detailed below.
OneDrive for Business is part of the standard Windows 10 Staff PC build which includes the

What's the difference between 'OneDrive for Business' & 'OneDrive'?
Microsoft also offers a personal OneDrive. The personal OneDrive is free online personal storage (up to 15GB) used to save documents, photos, and other files in the cloud, share them with friends, and even collaborate on content.
OneDrive for Business is online storage that can be used for work and study. OD4B is managed by Cardiff Met, providing 1TB of storage and allows you to share and collaborate on work/study related documents with colleagues.
Are there any limits or restrictions?
The total space available for use within your OD4B space is 1 TB. The maximum individual file size is 10GB and you can upload most document file types, however there are a few that cannot be uploaded detailed under 'Blocked file types for SharePoint Online'
Is 'OneDrive for Business' backed up and can I get deleted files back?
Microsoft have a very resilient system in place so no information will be lost if there is a failure. When you delete a file it moves to the recycle bin for 90 days. After 90 days, it gets permanently deleted. You can restore files from the recycle bin by following the How to Recover a Deleted Document section on this Study Portal page
What happens to my OneDrive data if I leave the University?
All files stored in your OD4B storage area will become inaccessible to you when you leave. They will be deleted after 365 days and will not be recoverable.
It is your responsibility to ensure that you obtain copies of any documents or files you require if you leave Cardiff Met.
