Collaborating with Microsoft Teams and Office 365

Microsoft Teams provides a central hub for teams to have conversations, meetings and share files. Teams makes it easy to communicate, you can chat through text, audio or video and on any device – computer, mobile or tablet. Collaboration is facilitated by the integration of Office 365 services – Word, Excel, PowerPoint, OneNote, SharePoint, Stream (video hosting), Planner (project management) — are built-in, giving you access to files and tools in one place.

This course explores how Microsoft Teams and Office 365 can be used to improve communication and collaboration for your team - whether it is a project group, a student cohort or a group of colleagues.

Target Audience

This course is recommended for all Cardiff Met staff.

Prerequisites

There are no prerequisites for this course, however you might want to explore some of the Office 365 apps that are available (such as Teams, OneNote and Yammer).

To access Office 365, visit portal.office.com and sign-in with your Cardiff Met Office 365 account: [staff number]@cardiffmet.ac.uk  e.g. sm12345@cardiffmet.ac.uk and your normal Cardiff Met password.

Course Structure

Please note: There are two versions of this course​: a taster session and the full training course.


Taster Session

The taster session explains what Microsoft Teams and Office 365 are and how they can be useful to your team to improve communication and collaboration. 

The session will suggest potential scenarios for using Teams and Office 365, including for project teams, for teaching or video conferencing. You will hear how early adopters have been using the software and the benefits derived from doing so. The session will clarify when communicating through Teams is appropriate, and when other platforms (email, Yammer, social media etc.) might be preferable. Finally, key features of the software are introduced. The taster session lasts one hour.


Full Course

The full course is comprised of the Taster Session (to set the scene), followed by an in-depth training session that explores the tools in detail, enabling you to be both proficient and efficient with Teams and Office 365. The face-to-face training is followed-up by an online Teams meeting, which will introduce a few other features and give you an opportunity to experience video conferencing through Microsoft Teams.

The structure of the full course is as follows:

  • Session I - face-to-face training (3.5 hours)
  • Session II - online video conference held through Microsoft Teams (1 hour)

Specific Learning Outcomes

Taster session

On completion of the taster session trainees should be able to: 

  • Explain the ways in which Microsoft Teams and Office 365 can be used to improve communication and collaboration.
  • Use basic Teams features (e.g. channels, @mentions, Meet Now) to communicate with team members through text, video and audio meetings.
  • Use Teams and SharePoint Online to collaborate on shared documents.
  • Identify the most appropriate communication tool (e.g. Teams, Yammer, email) for common situations.

Full Course

On completion of the full training course trainees should be able to:

  • Explain the ways in which Microsoft Teams and Office 365 can be used to improve communication and collaboration.
  • Use the full range of Teams features to communicate with team members through text, video and audio meetings.
  • Schedule online meetings through Microsoft Teams.
  • Create new Teams and understand the template options that are available.
  • Use Teams and SharePoint Online to collaborate on shared documents.
  • Make use of SharePoint Online features, such as real-time collaboration and version history to enhance the way documents are managed.
  • Use OneNote to create, organise and share notes between team members.
  • Utilise other Office 365 "group-based" services that are available when using Teams - such as shared calendars and mailboxes, Planner (project management) and Stream (video hosting).
  • Identify the most appropriate communication tool (e.g. Teams, Yammer, email) for common situations.
  • Identify the most appropriate document storage platform (e.g. OneDrive for Business, SharePoint 2016, SharePoint Online) for common situations.
